Contact Management

Your clients, organised and always at hand.

Every business relationship starts with good record-keeping. Invoify's contact management gives you a searchable, filterable database of all your clients. Store names, email addresses, phone numbers, VAT numbers, and full addresses. Mark contacts as active or inactive. When you create an invoice, select a contact and all their details populate automatically — no retyping, no copy-pasting, no errors.

Key Benefits

Why your business needs this

01

One-click invoice population

Select a contact in the invoice editor and all Bill To fields fill automatically — name, email, address, and VAT number.

02

Centralised records

All client information in one place. Update a client's address once and it is available everywhere — invoices, reminders, and emails.

03

Search and filter

Find any client instantly by name, email, or tax ID. Filter by status or country to narrow large lists.

04

Clean data management

Mark old clients as inactive instead of deleting them. Their history remains intact but they do not clutter your active list.

How It Works

Step by step

1

Add your clients

Go to Contacts and add your clients one by one. Fill in name, email, phone, address, and VAT details.

2

Contacts appear in the editor

When creating an invoice, the Bill To section has a contact selector. Pick a client and their details fill in automatically.

3

Search and manage

Use the search bar and filters to find clients. Edit, activate, or deactivate contacts from the data table.

4

Keep data current

Update client details from the contact page. Changes apply to future invoices — past invoices keep the details they were issued with.

Capabilities

Everything included

Full contact details

Name, email, phone, VAT number, tax ID, and complete postal address per client.

Status management

Mark contacts as Active or Inactive. Inactive contacts are hidden from the editor selector.

Search by any field

Search contacts by name, email address, or tax identification number.

Country filtering

Filter your contact list by country for international client management.

Editor integration

Contacts populate the Bill To section of the invoice editor automatically.

Sortable data table

Sort contacts by any column with full pagination controls.

Business Impact

Zero data entry errors

Manual retyping of client details is error-prone and time-consuming. A centralised contact database eliminates typos in addresses, VAT numbers, and email addresses — preventing delivery failures and compliance issues.

Configuration Tips

  1. 1Add your most frequent clients first — the time saved on invoice creation pays back immediately.
  2. 2Always include your client's email address so invoice email delivery works with one click.
  3. 3Include VAT numbers for B2B clients — it is required on VAT invoices and Invoify uses it to format the invoice correctly.
